Membership Tracker · For PTA, PTO, Booster Club, HOA & Community Groups

"Who actually paid?" Ask the sheet, not the group chat.

Add your members once. Log payments as they arrive. The Status Board keeps every member's owed, paid, and balance up to date, writes the chase list of who still owes, and opens a friendly email reminder with their exact balance in one click.

What's inside

Five tabs. One answer.

Status Board

Every member's owed, paid, balance, and a color-coded PAID, PARTIAL, or UNPAID status, plus totals for collected, outstanding, and paid-in-full at the top. This is the tab that answers the question.

The chase list

Everyone who still owes, with amounts, in one block ready to paste into your reminder message. When everyone has paid, it tells you to enjoy the silence.

One-click reminders

Each member who still owes gets an Email link that opens a pre-written friendly reminder with their exact balance filled in. You read it, you send it. Nothing goes out on its own.

Members tab

Your roster, one row each, up to 200 members or families. Set the dues amount once; type a different amount only for sibling discounts and scholarships.

Payments tab

One row per payment as money arrives, with member and payment-method dropdowns. Two half payments are two rows, and the board adds them up. Room for 500 a year.

Built to not break

Everything automatic is protected from stray clicks, the parts you type are marked in yellow, and sample data shows it working the moment you open it.

Dues questions, answered

Keep one list of members and one log of payments, and let a spreadsheet connect them. In this tracker you add each member or family once, log payments as they arrive, and the Status Board shows every member's owed, paid, and balance with a PAID, PARTIAL, or UNPAID status. The chase list of who still owes writes itself.
Two half payments are simply two rows in the payment log. The Status Board adds them up: the member shows PARTIAL with the remaining balance until the total is covered, then flips to PAID on its own.
No, and that's on purpose: nothing goes out without you. Each member who still owes gets an Email link that opens a pre-written friendly reminder with their exact balance filled in. You read it, then you send it. There's also a chase list you can paste into one group message.
Yes. Set your default dues amount once, and leave the Dues column blank for everyone who pays it. Type an amount for anyone whose dues are different, like sibling discounts or scholarships, and that amount wins over the default.
No, they do different jobs. The Treasurer Spreadsheet handles the whole year's money: the money log, the budget, and the monthly treasurer's report. The Membership Tracker goes deep on one question: who has paid their dues and who still owes. Many treasurers use both, and they're built in the same style.

Wish it did something it doesn't? Tell me what's missing. Those emails decide what I build next.

Handling the whole year's money too? The Treasurer Spreadsheet logs it all, watches the budget, and writes the monthly report. And the Treasurer Binder holds the paper side for meetings and audits.
