How it works

From a pile of yeses to a covered event

1. Say what you need

Put the event in, then give every job at it a row: the time, and how many people it takes. Six for setup, eight for the games booth. That headcount is what everything else measures against.

2. Assign from a dropdown

Pick a volunteer, an event and a job. The date, the times and the hours arrive on their own. Three dropdowns and the row is done.

3. Watch the gaps close

Every row you add fills exactly one spot, so that spot leaves the "still needed" list by itself. You never count anything by hand, and you never type the same number twice.

Dashboard

Opens with every shift that is still short, soonest first. Then what is coming up, who has not replied yet, and the follow-ups you asked for. Nothing on it is typed.

Volunteers

Your whole list: name, email, phone, whose parent they are, and which days of the week they can actually do. Their shift count, hours, and whether they are a first-timer fill in on their own.

Events and Shifts

One row per job, with a headcount. Each shift reads FULL, OPEN, URGENT or OVERSTAFFED by itself, and URGENT starts however many days ahead you choose.

Assignments

One row per person per shift. Declined and No-show stop counting toward the headcount, so a spot re-opens by changing a status rather than deleting the record of who you asked.

Contact Log

Every text, email and hallway conversation in one place. Tick "follow up" and it sits on the dashboard until you mark it resolved. "Did I already ask her?" stops being a question.

Hours

Volunteer hours totalled all year, with a volunteer MVP list. Open it in May and the awards night list is already written.

Built for the person doing the job

Yellow cells are the ones you type in. Grey cells fill themselves in and are guarded, so you cannot wipe one by accident. Nothing is locked, and every dropdown lets you type something that is not on its list.

A full sample year is already in it, and it is deliberately imperfect: one job is five people short, one parent declined, one did not turn up, and one job is a person over. You see every color before it is your event.

Room for 300 volunteers, 50 events, 200 shifts and 800 assignments. That is written on the Start Here tab too, because you should not find out a limit by hitting it.
